Creating a MS Forms that sends an email to the responder
Step 1: Create Your Form in Microsoft Forms
- Log into Microsoft Forms: Go to Microsoft Forms and sign in with your Microsoft account.
- Create a New Form: Click on “New Form”. Provide a name and description for your form.
- Add Questions: Ensure you include a question to collect email addresses. You can use the "Email" question type, which validates that the entered data is in an email format.
- Set Up Email Collection: Make sure to toggle on the option that says "Collect responses" in an email format to ensure you capture the respondents' emails correctly.
Step 2: Automate Email Responses Using Microsoft Power Automate
- Go to Microsoft Power Automate: Open Microsoft Power Automate in a new tab.
- Create a New Flow: Click on “Create” from the left sidebar and select “Automated cloud flow”.
- Add a helpful title
- Set up the trigger:
- Choose the trigger “When a new response is submitted” and select your Microsoft Forms as the source.
- Get Response Details: Add a new step to your flow:
- Search for and select “Get response details” action.
- Choose the same form you're working with for this action.
- Send an Email:
- Add a new step, then search for and choose “Send an email (V2)” using Microsoft Outlook connectors or another email connector if you use a different mail service.
- Configure the email:
- To: Use the dynamic content box to insert the email address captured from the form response.
- Subject: Choose a relevant subject for your email.
- Body: Write the content of the email you want to send to the respondent.
- Save and Test Your Flow: Make sure to save your flow and test it by filling out the form yourself to ensure that the email is sent as expected.
Step 3: Publish and Share Your Form
Once your form and flow are ready, you can share your form with others by sending the link or embedding it in a website or email.
By following these steps, you should be able to successfully create a Microsoft Form that sends an email to the person who filled it out each time a response is submitted. This can be very useful for registration forms, feedback forms, or any scenario where immediate confirmation is needed.
