Sharing your Outlook 2019 Calendar

For the Person Sharing the Calendar

  • Launch the Outlook application on your computer.
  • Navigate to the calendar section of Outlook by clicking on the calendar icon at the bottom of the navigation pane.
  • If you have multiple calendars, click on the one you wish to share to highlight it.

Share Your Calendar

  • Look for the Home tab in the top menu.
  • Click on the Calendar Permissions icon in the menu ribbon.
  • When the Calendar Properties dialog box opens, click on the Add button to select the person you want to share your calendar with. You can search for the person by name or email address.
  • After adding the recipient, click the Add button and then the OK button.

Once you’ve selected the person, you can choose the level of detail you want to share. Here are the options and definitions:

Send the Invitation

After setting the permissions, click the OK to close the Calendar Properties dialog box. An email invitation will be sent to the person you're sharing your calendar with.

For the Person Receiving the Calendar

  • Go to your inbox and open the calendar sharing invitation.
  • Click on the acceptance option in the email, which might say something like “Open this calendar” or “Accept.” The shared calendar will then be added to your Outlook calendar view.
