Scheduling a Meeting

Your Teams calendar and Outlook calendar sync with each other, both desktop and online. In other words, when you schedule a meeting in Outlook, it'll show up in Teams, and vice versa.

Schedule a Meeting in Teams within a Channel

  • Choose the channel you want to meet in from the list.
  • Click on the Posts tab.
  • look for the camera icon in the upper, right-hand corner and click on the downward pointing caret.
  • From the drop-down, select New meeting.
  • Give your meeting a title.
  • Click the Start meeting button
  • This will bring up The Choose your video and audio options screen
  • Set your desired parameters
  • Hit Join Now.

NOTE: When you have a meeting in a channel, everyone in the team will be able to see it and join it in that channel. This feature isn't available in private channels.

Schedule a Meeting in Teams from the Calendar

  • Click on the Calendar icon on the left-hand side of Teams 
  • select + New meeting in the top right-hand corner or select a time in the calendar. Either will result in the New meeting window popping up.

The New meeting form is where you'll give your meeting a title, invite people, and add meeting details. You can use the Scheduling Assistant tab to find a time that works for everyone.

  • Once you're done filling out the details, click on the Save button. This will close the New meeting window and send an invite to everyone's email.

Inviting People Who are Outside your Organization 

Teams lets you invite people outside your organization, including those who don't have the Teams app. You'll need their full email address.

  • On the New meeting form, o to where it says Add required attendees. If anyone is an optional attendee, click on + Optional instead.
  • Type in the person's full email address (ex: Joe_Parishioner@example.com).
